• The quantity field quantity is the amount administered to the patient only, this excludes waste. This is matched to the amount you input on your invoice.
  • The waste is the additional amount of medication drawn from your container that was not used on or invoiced to your patient and should be separated from the total quantity and entered into the Waste field


Note: If you are invoicing the client for the entire amount withdrawn from the container (the amount used on the patient AND the amount wasted) then you will need to enable the "Waste Invoiced (in PIMS)" checkbox. 

  • Example: you withdraw 2.5 mls of a drug but only 2 mls are administered to the patient
    • The remaining 0.5 mls is not used but you are still invoicing for the full 2.5 mls as it was withdrawn for that patient
  • This can be done in Settings and Create Inventory
  • You will select open the drug and select the checkbox to enable it
  • For your Log Entry, your quantity used should relay the amount administered to the patient, and the waste section should relay that additional amount withdrawn that was not administered. The sum of these two quantities will reconcile with the amount on the invoice. See example log entry below:



Can the "waste" area be used for individual syringe hub loss?


  • We do not recommend using the “waste” area for hub loss on a patient level. There is not a definitive way to determine the exact amount of hub loss. A variety of factors are involved, including the size of the needle, the number of times a vial has been punctured, etc. Therefore, we recommend logging hub loss at a container level at the end of the life of the container.

What if the entire amount withdrawn for the patient was instead wasted and not administered at all?


  • If the entry has already been logged, you can locate the entry within the Pending section of the Reconcile tab. Select the entry and select the Waste Log button. This will convert this to a waste entry in your logbook.
