When your facility experiences a change in DEA registrants, it is recommended to have a new logbook and close the old one. Below are the steps and important considerations for transitioning from one primary DEA registrant to another within your logbook system.


Step 1: Close the Logbook Associated with the Current DEA Registrant

We recommend closing the logbook tied to the current primary DEA registrant. This ensures that all entries and activities remain legally attributed to the registrant under whom they were conducted. Once closed, this logbook should be archived or exported for your records, as needed.


Step 2: Request Account Offboarding

The current primary DEA registrant must submit a formal request to offboard the account. This is required because the registrant is the legal owner of both the logbook and its associated records.

If the registrant is unable to make the request directly, we can accept a request from the billing contact on file, verified through Stripe. Please send this request to support@vetsnap.com.

After the request is submitted and processed:

  • Offboarding will begin.

  • Access to the account and its records will remain available for 30 days.

  • During this period, you may complete any necessary final steps, including exporting logbook records for compliance or recordkeeping purposes.


Step 3: Set Up the New Logbook

To initiate a new logbook under the new primary DEA registrant, please provide the following to support@vetsnap.com:

  • The name and email address of the new registrant.

  • A list of users who should have access to the new logbook.

Once we receive this information, we’ll create the new logbook and ensure the appropriate team members have access.
