It’s important to clearly define when tracking methods are changed. Use the steps below to switch to weight tracking. (If you wish to switch back to your previous tracking method, the steps will need to be repeated.)


  1. Reconcile anything in the reconcile tab
    • Archive pending logs, record missing logs from the invoice if needed, etc
  2. Perform a Physical Count on each drug you are changing
    • Go to Manage Inventory, click Record Physical Count on each drug
    • If currently using quantity tracking, enter the equivalent grams for any opened containers in the comment.
    • If currently using weight tracking, enter the equivalent mls for any opened containers in the comment.
      • If a discrepancy is noted, you will need to confirm all entries are correct and then adjust the container balance if needed. 
        • To adjust the container balance, go to Manage Inventory, click on Manage Containers, click View Details on the container, and select Adjust Balance. Make the appropriate adjustment.
      • Record the physical count. 
  3. Close current containers
    • Close all containers with a balance, entering a very detailed comment about switching tracking method. 
      • Go to Manage Containers, click View Details on the container, and select Finish Container. Leave the adjustment select blank.
  4. Deactivate each inventory item associated with the previous tracking method
      • Go to Create Inventory under Settings
      • Click on the drug to open
      • Select the Deactive Inventory Item
      • Enter a comment as to why the drug needs to be deactivated
      • Enter a signature
  5. Create a new inventory item for each drug transitioning
  6. Restock the previous container using the new tracking method
    • Go to Manage Containers, click Restock on the drug, and enter the required information
